Viberent new functions September 2025

We have been very active in implementing number of improvements in Viberent including some new functions to help improve rental management capabilities for our customers.  We are pleased to share the details of these over few online sessions.  Please click the link below to register for an event suitable for you.

Function 1. Venues for rental Delivery / collection

It is very common in certain industries such as Events, Audio Visual, Cranes/machinery etc to be delivered to standard venues such as convention centres, stadiums and other common venues.

Viberent allows you to now maintain details of such common venues which can then be used when preparing quotes and rentals. In addition to venue name, address, contact details etc users can also specify instructions / notes regarding the venue including upload of documents, photos etc of the venue.

Instead of entering details each time when raising quotes or rentals, users can search and retrieve venue details as the delivery location.

Function 2.  Test Certificates for Equipment Safety / Usage Compliance

Plant & Equipment rental companies, Generator rental companies and other such businesses require equipment test certificates to be raised regularly (eg every 6 or 12 months).  These involve a series of forms including questionnaire to be filled, saved and signed as part of test certification. Users can then set the reminders for the next period.

 

Function 3.  Quote / Rental data import via Excel template

Rental businesses such as Events furniture rentals, Scaffolding / formwork, requiring large numbers of items to be included in a quote or rental can now include all the item details in an Excel template and upload it.

Initially, you can download the template.  Then populate the template with item details including quantity and then Choose the file to import the data into quote/rental screen.

Function 4.  Automated bulk extension

For businesses requiring active rentals to be automatically extended for the next period, Viberent now provides functionality to automatically extend to the same period. That is, if a 3 week rental is raised and not terminated at the end of the rental period, Viberent can now automatically extend the rental for further 3 weeks and forward the invoice to customers.

 

Function 5.  Bulk Update – items selection

We have listened to customer feedback and have now provided functionality to bulk update details for single, multiple or all items in a quote or rental transaction.

Select tick-boxes for required items or click the box next to column heading “Item Code” to select all items in the list.

 

Function 6. Mobile app – Partial Pick, Delivery and Return functionality with quantity

You can now partially pick or deliver or return items using the Viberent mobile app.

 

Function 7.  Item Movements on Rentals

For rentals involving regular movements of items in/out on jobs, such as those for long-term furniture rentals or scaffolding/form work rentals, Viberent can easily track accurate availability of items based on such movements. All such movements are saved as PDF documents in the Movement Sheet tab in the rental screen. Partial picks, deliveries and returns are also tracked in the Movement Sheet.

 

Function 8.  External suppliers invoicing based on Task time recorded

For businesses employing external suppliers/contractors to undertake work as part of rentals (eg external technicians for AV Equipment installation or Events stylists / specialists working with events companies etc), time spent on rental jobs can be easily tracked via the mobile app. Upon finalisation, these time entries are transferred to your accounting systems such as Xero for processing Recipient Created Tax Invoices (RCTI) so such external personnel can be paid via your accounting system.

 

Function 9.  Charge by Weight or by Quantity

Specifically created for businesses in Scaffolding and similar industries where equipment are charged based on total weight of rental items, Viberent now has the ability to configure individual weight per item. User can then specify charges for customers based on tonnage / total weight of each rental.

Based on the total weight of all such items in a rental, Viberent accurately calculates rental charges for items for the period (eg month or week) taking into account movements of items during the period.

In the inventory management screen, specify unit weight of the item in Kg and the rental pricing for different periods such as Daily, 2 Days, Weekly etc.

When raising rentals, the system will calculate based on the total weight of the item(s) on the rental and charge based on the rental rate specified.

 

Function 10.  Separate Delivery/Collection Truck Required

For business transporting multiple items or bulky items that require separate trucks (eg heavy machinery), Viberent can calculate the delivery and return charges based on the number of items in a rental that require separate trucks to transport.

In the Inventory management screen, tick the box titled “Separate Delivery/Collection Truck Required” box.

Function 11. Stock View based on dates

In Viberent, you can check stock availability for date ranges that cross months and for up to 31 day period.  As an example, you can check stock availability for period August 27 to September 5 as per sample screenshot below.
